Job Description
The Ipsen Customer Service (ICS) Aftermarket Parts Representative determines customer needs and processes orders for aftermarket parts to meet customer requirements.
Essential Duties and Responsibilities
Respond promptly to customer inquiries for aftermarket spare parts, utilizing historical data and blueprints to identify exact replacement parts.
Inform customers of unit pricing, ship dates, potential delays, and any additional information needed.
Utilize CRM system to manage customer inquiries and create new sales opportunities.
Review customer purchase orders for acceptance.
Create parts quotes and orders in the Syteline ERP system.
Check customer credit status and work with Accounts Receivable to resolve credit issues or international compliance matters.
Address customer order discrepancies and coordinate with the Quality Department for replacement orders.
Collaborate with departments in Germany and Pennsylvania to expedite or track orders.
Follow up with customers on open opportunities and generate customer orders.
Occasionally travel to customer sites for consultations and trade shows.
Requirements
Knowledge, Skills, and Abilities
Strong attention to detail, organizational skills, and influencing abilities.
Proficiency in computer skills, with the ability to quickly learn the company's ERP system.
Effective multitasking and prioritization in a fast-paced environment.
Adaptability to changes and new technologies.
Direct and professional communication skills.
Ability to read, analyze, and interpret technical documents and data.
Proficient in report writing and business correspondence.
Effective presentation skills for internal staff, customers, and the public.
Basic mathematical skills for calculations.
Capacity to learn technical knowledge about Ipsen parts and equipment.
Sales acumen with the ability to cross-sell parts.
Willingness to travel to customer sites (less than 10% travel requirement).
Education and Experience
High School Diploma or equivalent GED required.
Associates Degree, Certificate Program, or advanced training preferred.
Minimum of one year of related experience in sales or spare parts sales, preferably in manufacturing.
Physical/Visual/Mental/Environmental Factors
Regularly required to sit and use hands and finger dexterity.
Occasionally required to stand, walk, and reach with hands and arms.
Occasionally required to lift up to 10-20 pounds.
Regularly requires close vision, hearing, and talking.
Exposure to a moderate noise level in the office.
